Lieutenant, Tigard Police Department
How did Tigard Police Department automate their scheduling?
For years Tigard had been managing their scheduling using multiple spreadsheets and paper request slips. “I can’t count the number of hours that we used to spend calling, emailing and following up with employees in regards to shift postings and requests,” says Lt. David Frisendahl. Tigard’s employee management and communication were painfully inefficient. They finally had enough and implemented InTime to automate these manual processes.
Tigard Police Department’s Past Challenges
SLOW MANUAL PROCESSES
Tigard previously used multiple spreadsheets to manage their scheduling. This process proved to be inefficient and error prone. It required posting schedules on bulletin boards, managing “paper inboxes” and making numerous phone calls and follow up emails.
Because scheduling wasn’t an automated process, activity and leave requests were submitted on paper. You can probably imagine the chaos involved with organizing and responding to an entire department’s requests. The challenge doesn’t stop there; posting shifts, overtime and schedules were all on paper as well.
Who approved those requests? How much overtime did we have this month? These are questions that are not always that easy to answer when using a manual scheduling process. Tigard found it difficult to account for who approved what.
The Results with InTime
We chatted with Lt. David Frisendahl to find out how InTime has impacted Tigard PD’s scheduling processes.
NO MORE ‘PAPER INBOXES’
The first most apparent change for Tigard was the reduction in paper processing. Gone were the days of filing activity requests and countless employee documents; now everything is automated through InTime. Employees login in through their Employee Self-Serve portal and can check their schedule, request leave and check the status of their requests.
Frisendahl describes how InTime has impacted Tigard: “With InTime, making schedule changes is much simpler and the ability to make live adjustments is huge! Operational oversight has improved dramatically, I am able to always know if I have minimum staffing. Even small things like building new shifts is much easier with InTime.”
Without a consolidated scheduling system, it was difficult to build reports and show accountability for changes and postings in the schedule. InTime has over 85 standard reports, providing in-depth operations oversight. With InTime’s audit trail feature, Tigard is able to track schedule changes and maintain accountability.
“Using an automated system with push notifications to employees has saved us countless hours; we are no longer losing slips and having to tirelessly call and email our staff.”
